Overview

Reporting directly to the Chief Executive Officer, the Executive Assistant performs high level administrative support for the CEO and the staff.

This position requires the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a balance among multiple priorities.

The successful candidate will be innovative and forward thinking to stay one step ahead of the CEO.

Responsibilities:

  • Prioritizing and responding to emails on behalf of the CEO
  • Preparing presentations, contracts and sales materials utilizing PowerPoint and Excel
  • Develop all documents to present a professional corporate image
  • Maintain calendars and post all appointments in Outlook
  • Maintain all files, both hard copy and electronic, so that needed material is easily and readily accessible
  • Provides administrative assistance on special projects for the staff
  • Cross-train to provide assistance to other departments during absences

Requirements:

  • Minimum 3 years of experience as an Administrative Assistant
  • Bachelor degree
  • Advanced computer skills including Microsoft Office (Word, Excel, PowerPoint and Outlook)
  • Excellent written and verbal communication skills including a great phone voice
  • Highly organized – always able to locate documents and keep electronic files in order
